Why the rate moves with the term

A rented machine earns money while it is on your site and earns nothing while it is being collected, checked, transported and re-let. Short hires carry all of that overhead across a few days. A long contract spreads it across a year.

That is why a twelve month commitment gets a better monthly figure than three months. The machine stays earning instead of moving between sites, and the saving is shared. It is worth asking for the twelve month rate even if you are only fairly confident about the year, simply to see the gap.

What the monthly bands look like

A reach truck lives inside racking aisles doing one job, while a rented counterbalance tends to work harder across more of the site.

Daily and weekly hire

Short term hire is available and priced on request rather than published, because the rate depends heavily on what is free in the yard that week. That is not a stalling tactic, it is honest. Availability drives short term pricing far more than the machine specification does.

If your need is genuinely short, say so early. A week booked three weeks ahead is a very different conversation from a week starting tomorrow.

Matching the period to the job

A few days

Stock takes, a one off container, an exhibition build, covering a machine that is in for repair. Daily or weekly hire, priced on availability. Do not sign a month for a three day job.

A seasonal peak

Ramadan and the run into year end are the obvious ones, along with any project with a delivery window. Monthly is usually right, and booking early matters more than negotiating hard, because the constraint is fleet availability rather than price.

A project of several months

This is where people lose money by rolling over monthly hires one month at a time. If the project is six months, ask for the six month rate at the start.

Ongoing daily work

If the machine will run every day for the foreseeable future, you are no longer really in the rental question. You are in the rent or buy question.

What is included matters as much as the period
